Board Meeting

Friends of the Van Pelt Library

December 6, 2001

Present: Faith Morrison, Karen Hubbard, Phyllis Johnson, George Love, Gail Morz, Terry Reynolds, June Hawthorne, Peck Cho, Kim Hoagland, Amy Hughes, Paul Munsterman

Absent: Udaya Kalluri, Dana Richter, Dee Vincent

Karen Hubbard called the meeting to order at 4:00 pm; action items are in bold.

The minutes of the November 8, 2001 meeting were reviewed and approved.

The treasurer's report dated Dec 4, 2001 was reviewed and approved. Terry Reynolds also provided us with a report on the total expenditures of the Friends group to the Van Pelt Library from 1995 to present. The rough estimate is that the Friends of the Library contributed approximately $55,000 to Van Pelt Library improvements and programs in the period from July 1, 1995 to June 30, 2001. We received 2 large donations because of the newsletter we sent out. One for $150 and one for $250. It is the first time that we have received such large donations because of the newsletter. Amy Hughes will send Thank You cards to these donors.

Book Work Bee & Book Cart: A large group from Tau Beta Pi did a lot of work, fairly fast (about 2 hours) pricing and boxing the books in the storage room. They ran out of boxes before they ran out of books. We will plan to have a work bee at the end of March, 2002 for sure, and in mid-February if one is needed then. We need more boxes – the boxes from copier/printer paper are a good size. Dana Richter has been picking up a lot of the donated books and other items. We need to ask Dana how much work it is to pick up donations and if he needs some help. A "Theater" category table may be necessary at the book sale because of all the books donated by Dick Goldstein.

Book Sale Date: The book sale date is Tuesday, April 9, 2002, 5 pm -7 pm for Friends of the Library, and Wednesday, April 10, from 10 am -5 pm. We have the room in the Union from noon, April 9th to 6 pm April 10, 2002. Karen Hubbard will call Cynthia at the Copper Country Community Arts Center to ask them to put the Book Sale date in the Spring quarterly flyer of events they publish.

We discussed whether or not to create and send out December newsletters. We decided not to issue December newsletters. We discussed recognizing donors. Peck Cho suggested that we name things for various levels of giving to the FPVL. Some ideas discussed were: naming the book cart for a month at a time and including a photo of it in the newsletter, having a permanent plaque with names of donors, or naming the fellowships that are awarded (although the Archives are the fellowship award folks).

Sell FVPL note cards – Einerlei? Keweenaw Gem and Gift said "No". Phyllis Johnson will check with the Einerlei to see if they want to sell more of the note cards.

Sell books on the web Amy Hughes gave a update of the FVPL books which are listed on half.com for sale. There are 6 textbooks listed now. No books have sold yet. We don’t know if there is a current market for these books (4 chemistry books, one computer, and one contracting). We’ll just leave them listed and see if anyone buys them. If they don’t sell by April, we can un-list them, and include them in the book sale. Terry Reynolds will keep an eye out for book donations that may be in demand and let Amy know so that they can be listed on half.com.

Alpha Society member? Paul Munsterman said that he will contact Peck Cho to get a contact name for the Alpha Society and then ask them if they want to run the book sale.

We discussed the vacancy on the board. Phyllis Johnson will invite Patricia Van Pelt to be on the board.

We discussed the 2002 meeting dates. We decided to have meetings on the following dates: January 17, February 14, March 14, and April 4, 2002.

The meeting adjourned at 4:52 pm. The next meeting will be January 17, 2002, 4-5:00pm in room 309 of the J. Robert Van Pelt Library.

Per our discussion yesterday, we have 14 board members out of a maximum allowed of 15.

Rene is still listed on the board, but if she is considered to have resigned, then we can

appoint someone to that spot. Otherwise, the next time we can add board members is next

October.
