The minutes of the February, 2003 meeting were reviewed. The minutes were approved.

Dee Vincent passed out the March 6, 2003 Treasurer’s report that had been prepared by Terry Reynolds. The total amount in the FVPL accounts is $10,643.03. The report was approved with the amendment of replacing the word "foolishly" with "wisely".

A. Status of the CILIT construction and work underway

Theresa Spence told us that there is a possibility that the construction of the CILIT will be delayed. However, library staff are going to continue with the work schedule to be ready for the planned construction. They will need to clear out the ground floor. One of two options will need to occur: 1. Move the Archives out of the building, and move the governmental documents materials to the current Archives space, or 2. Move the governmental docs materials out of the library. They will be weeding out the governmental documents materials HEAVILY. They will be clearing out tons of maps. There will be no more library tours, no more acceptance of donated collections, no more book drop, and no more storage of the FVPL books. The manager of the Quincy Mine Hoist Association (Ed Yarbrough) is willing to talk with us about storing and selling books at the Mine Hoist shop.

B. The Annual Book Sale, April 8 & 9, 2003

We discussed the logistics of the book sale. Faith passed around a sign-up sheet for the work hours on April 8 and 9. We spent considerable time discussing what should become of the books left at the end of this year’s sale, as we will have no storage for them. We decided to have the bag sale from 3:30 – 4:00 pm, and then from 4:00 – 4:30 pm everything will be FREE. We will ask the new used-book store in Calumet if they would be interested in taking whatever books are left over. Whatever books are left after this will be recycled. The University recycling group may be interested in handling this for us. If they are not, or if the books become un-recyclable (water damaged), they will go to the dumpster as our last resort. At clean-up time, folks are free to box up and take home any books that they feel are worth keeping for any future sales, such as the book cart. There may be a lot of maps from the discards from the governmental documents weeding. Amy Hughes volunteered her husband Craig to pick up any remaining maps so that these would not be destroyed. We will not pursue storing and selling books at the Quincy Mine Hoist because we just do not have the man-power to do it right now. Faith Morrison suggested that we have a "Just in Time" book cart in the library that we continue to keep stocked. This way, we can keep the donation book drop going and use books from that to stock the cart.

Dee Vincent: Check with the MUB about tables for the sale

Peck Cho: Contact Tau Beta Pi to get workers for the book sale. From noon to 2 pm on Tuesday, April 8 is the most important! We will need 10 students to help with set up on Tuesday. We will also need student help at the close at the sale, 4:30 pm Wednesday, April 9, 2003. We also would like some Tau Beta Pi students to help with the pricing and boxing work bee on Thursday, April 3, 2003 from 4-6 pm.

C. FVPL in the Van Pelt Library during Winter Carnival

Don Durfee reported on our Winter Carnival table in the library: Our Winter Carnival sale was a success! We collected $590.43.

We sold 5 blankets, 5 sets of note cards, $40.55 in used books (in addition some people paid for their books in our locked box on the book cart, so the book sale amount is higher), received $79.35 in donations (the can for donations was full), and we received $60.00 in memberships.

We served over 300 hot chocolates and ran out of our baked cookies and other goodies. I think we generated a lot of goodwill with vistors to MTU.

Joan Goodbody was generous to supply some additional cookies from her office.  Thank you Joan and thanks to everybody who helped at the tables and brought in goodies.

Thank you Mary Marchaterre, Diane Garrow, George Love, Karen Hubbard, Joan Goodbody and Phyllis Johnson. We also had help from several of the students working at the library. Their help was very much appreciated.

Meeting adjourned after 5:00 pm.

The next meeting will be April 3, 2003, 4-6:00 pm in the basement of the J. Robert Van Pelt Library. Note the change in location! We will be pricing and boxing books for the book sale.

The next regular meeting will be held on May 1, 2003, 4-5:00pm in room 309 of the J. Robert Van Pelt Library.
