Minutes
Board Meeting
Friends of the Van Pelt Library
Thursday, May 8, 2003

Present: Dee Vincent, Karen Hubbard, Phyllis Johnson, George Love, June Hawthorne, Mary Marchaterre, Amy Hughes, Don Durfee

Absent: Mike Miller, Terry Reynolds (sabbatical), Dana Richter, Marianne Brokaw, Peck Cho, Gail Mroz, Faith Morrison

The minutes of the March, 2003 meeting were reviewed. The minutes were approved.  There were no minutes for April, 2003, because we met to price and box books instead of having a regular meeting.

Dee Vincent passed out the May 5, 2003 Treasurer’s report that had been prepared by Terry Reynolds.  The total amount in the FVPL accounts is $11,227.07.  The report was approved.

A. The Annual Book Sale, April 8 & 9, 2003
We discussed the book sale.  Gross Sales Revenues were $2,147.16 (after tax revenues were $2,025.63).  Membership Renewals at the sale were $445.00.

Next year, Diane Garrow will help with advertising the book sale.  Dana’s work study student, Greg Paine, was VERY helpful with the book sale.  Amy Hughes will send him a thank you card.  We needed 10 students, but only had 2 or 3 at a time.  Next year we need to get NAMES AND PHONE NUMBERS for the students who sign up to help.  Their help is VERY NECESSARY, and we need to get a commitment from them to show up when scheduled.

We discussed asking FVPL members to volunteer to help with the book sale.  Even just 1-2 hours to help price and box books would be helpful.  We can ask for this assistance in the next newsletter.  We recycled a LOT of the left over materials at this year’s book sale.  It was very helpful to get rid of items that will not sell.

We discussed the USGS maps (the flat maps, not the 3-D maps) that were left.  A fellow from Calumet is interested in buying all of them, cheap.  We have a stack of them that is about 3 feet high.  Karen Hubbard moved that we offer them to the guy from Calumet for $200 for all of them.  The motion was seconded by Amy Hughes.  Motion passed.  Dee Vincent will contact the guy in Calumet to let him know of the offer.

B. Status of the CILIT construction
Phyllis Johnson told us that the CILIT donors are in town right now.  The CILIT groundbreaking will be tomorrow, May 9, at 11 am.

C. Econo Receipts
The cutoff for Econo Receipts is June 11, 2003.

Meeting adjourned at 4:40 pm.

The next meeting will be held on September 4, 2003, 4-5:00pm in room 309 of the J. Robert Van Pelt Library.   Submitted by Amy Hughes, Tuesday, May 13, 2003.
