Board Meeting

Friends of the Van Pelt Library

November 8, 2001

Present: Faith Morrison, Karen Hubbard, Terry Reynolds, Dana Richter, June Hawthorne, Dee Vincent, Peck Cho, Udaya Kalluri, Kim Hoagland, Amy Hughes, Paul Munsterman

Absent: George Love, Yaek, Gail Mroz

Visitors: Phyllis Johnson

Dee Vincent called the meeting to order at 4:03pm; action items are in bold.

The minutes of the October 4, 2001 meeting were reviewed. Dana Richter moved and Kim Hoagland seconded that the minutes be approved. Motion passed.

The minutes of the October 18, 2001 annual meeting were reviewed. Faith Morrison moved and Karen Hubbard seconded that the minutes be approved. Motion passed.

The treasurer's report dated Nov 6, 2001 was reviewed and approved. The Econo check for $431.76 was received and deposited. Terry will transfer $2,210.00 to the library for the new furniture and computers as approved at the October 4, 2001 meeting. We will send a Thank You to Econo Foods. We will add a picture of the new library furniture and computers on the website. Peck Cho asked if Terry could put together information on FVPL expenses for the last 6 years. We discussed including information on annual disbursements at the annual meeting. Amy will provide Terry with detail Banner financial data reports for the FVPL account. We discussed if we needed more publicity for the Annual Meeting. It seems that we already do enough advertising – no one made any suggestions for increasing the advertising for the Annual Meeting. Someone suggested that our next annual meeting speaker could be an artist – maybe someone who has had their work displayed in the FVPL lounge.Kim Hoagland is on the Archive Grant Awards Committee.Phyllis Johnson talked to Jim Hainault about getting a date in the Union for the book sale. April 2 & 3, 2002 is a possibility, if the Intervarsity Christian group will agree to meet in a different room. Other dates were discussed, including April 10 & 11, or April 11 & 12, 2002. Book Cart Project (Tau Beta Pi help): Paul Munsterman said that Tau Beta Pi has not been doing anything with the book cart. Paul did mention at the last Tau Beta Pi meeting that the FVPL are collecting Econo Receipts. Peck Cho said that the honorary student group, the Alpha Society, has probably been working on the book cart. Peck Cho said that he will get a list of contact names at the Alpha Society to Faith Morrison. Peck Cho also said that he will invite the Alpha Society to attend our next board meeting. Peck Cho suggested that Tau Beta Pi could concentrate on helping with the annual book sale and with book drives and collecting donations of books. Phyllis Johnson said that she would check with Circulation staff about who has been emptying the orange book donation container in the library.Book Work Bee: We think that the book cart and organization of books in the library basement is being done by the Alpha Society. Phyllis Johnson has noticed some people working on the book cart – she will ask them who they are next time she sees them.Sell Books on the Web: Amy Hughes volunteered to select several books from the donated books and list them for sale on Half.com. The hope is that we could make more money selling some books online than we could get for them at the annual book sale.The sale of notecards was discussed. Dee Vincnet took 10 sets to Copper World, and 6 sets to Traditions. Does the Einerlei need some more? Phyllis Johnson said she would check at the Einerlei to see if they have any in stock. Dee Vincent said that she would ask Keweenaw Gem and Gift if they wanted to sell some notecards. Someone may check out Yarns & Threads in Lake Linden to see if they would carry the notecards. Would any MTU departments want some notecards to send thank you notes? Would the Alumni Association or any of the athletic teams want some? Faith said that she would draft a letter to pitch the cards to some of these groups.

We discussed the sale of blankets, and advertising them to graduating students and perhaps other students as ideas for Christmas gifts, etc. Faith Morrison said that she would do something to advertise blankets to this group.Econo Foods Program - Udaya Kalluri said that the Econo Foods program is running again this year and that she periodically drops off FVPL Econo receipts at Econo. Karen Hubbard volunteered to be the Vice President. Faith Morrison made a motion that we elect Karen Hubbard as the Vice President, Terry Reynolds seconded, and the motion passed.The meeting adjourned at 4:52 pm. The next meeting will be Thursday, December 6, 2001, 4-5:00pm in room 309 of the J. Robert Van Pelt Library. Submitted by Amy Hughes,
