Board Meeting Minutes

October 12, 2000

Present: Terry Reynolds, Peck Cho, Karen Hubbard, Faith Morrison, Dana Richter.
Absent: Kim Hoagland (sabbatical), Dee Vincent, George Love, Phyllis Johnson, Erin Minne.

Action items are in bold.

The Chair being absent, Treasurer, Terry Reynolds, ran the meeting.  Morrison agreed to take minutes. (In the absence of a secretary, board members are taking turns doing minutes until January 2001 when Erin Minne will become secretary.)

Reynolds called the meeting to order at 4:10pm in room 309 of the Library.  The minutes of the September 14, 2000 meeting were approved.

There was no chair’s report.

There is no secretary, but Faith Morrison reported that she has received all of the secretary materials from Wil Slough, including a CD-ROM with the database on it.  Morrison also reported that she sent out the newsletter on Wednesday, October 11 with the help of Reynolds, Erin Minne, and Nam Kim at a cost of approximately $200.

Morrison reported that the slate of board candidates appears in the newsletter.  She heard back from Dana Richter and George Love that they would stand for election to the board; she has not yet heard from June Hawthorne.  Morrison pointed out that there are three open seats on the board due to the resignations of Wil Slough, Becky Fitzgerald, and Lynn Bjorkman.  These may be filled by a vote of the board.  Peck Cho will ask Tau Beta Pi to put a member on the board; Reynolds suggested that Deb Wright (biomedical) be approached to be on the board (Dee Vincent is asked to do so).  The board also agreed that Vincent should formally ask Udaya Kalluri to sit on the board.

Reynolds gave the treasurers report.  He ordered and received blankets.  Morrison asked if it was time for an audit?  No one knew.  Reynolds reported receiving a check from Econo Foods for just over $300 to be used for computers.  Morrison reported that in an email Vincent had said that we are not signed up for the Econo Foods program for this year, so for now receipts should come to Reynolds and Morrison.  Once we are signed up, we need to put a strong effort on to collect more receipts – Finlandia received over $11,000 from Econo as part of this program.

Reynolds announced that we will need another book-sale work bee soon, perhaps in November.  Members are asked to collect boxes and bring them to the library.  Dana Richter requested that the work bee not be on a Wednesday or a Thursday.

The board discussed the annual meeting.  The following members will bring refreshments:

Morrison circulated a poster advertising the meeting.  The board suggested some changes.  Morrison will circulate the revised poster over fvpl-l.  Cho will give a copy to the speaker, Neil Davis, and ask him to post them at Finlandia.  Reynolds will distribute 50 copies on the MTU campus.  Hubbard will post 10 in the community.  Morrison will email an announcement to Tech Topics and the Daily Mining Gazette (Keweenaw Clips).  The board agreed that during the annual meeting the board members should be introduced.

Morrison asked did Dee Vincent agree to stand for Chairman for 2000-2001?  The board thinks so.

The board put off discussion of dividing the board into portfolios until the first meeting after the election of new officers.

The work bee was discussed again.  The board agreed that Tau Beta Pi or volunteers from the Graduate Student Council could do as good a job at pricing as the board members.  Richter suggested that some example priced books be prepared to help them.  Cho will contact Tau Beta Pi and ask if they could participate in two work bees this year, one in November and one in March.  The members of TBP will work with Reynolds and other board members to organize the books for the sale.

The next meeting of the Board of Directors of the Friends will be Thursday, November 2, 2000 in room 309 of the Library.
